Whether you are switching agencies, bringing development in-house, or simply want a backup, a smooth website or app handover depends on preparation. Here is what to have ready before the transition happens.

Get Full Access to Your Own Accounts

Make sure you personally own, or at minimum have admin access to, your domain registrar, hosting account, website admin login, Google Analytics, Google Search Console, and Google Business Profile. These should be registered under the business’s own email, not an agency’s, so access never depends on staying with that agency.

Collect All Source Files and Credentials

Ask for a full backup of the website files and database, the app’s source code if applicable, and any custom plugins, themes, or integrations that were built specifically for you. Store login credentials for every connected service in one secure place rather than scattered across emails.

Document What Was Built and Why

A simple handover document describing the site structure, key integrations, and any unusual technical decisions saves the next developer significant time. Without this, a new team often has to reverse-engineer decisions that could have been explained in a paragraph.

Confirm Ongoing Service Dependencies

Many websites and apps depend on third-party services such as payment gateways, email providers, or SMS APIs. List out every external service your site depends on, along with which account it is billed to, so nothing breaks unexpectedly after the transition.

Plan the Technical Cutover Carefully

If you are changing hosting providers or making major changes during the handover, plan for DNS propagation time and test the new environment before fully switching over, to avoid downtime for your live website or app.

Protect Your Search Visibility During the Move

If your site already gets visitors from Google, a handover can hurt that by accident. Before anything changes, save a list of your current page addresses. If any addresses will change after the move, set up redirects from the old address to the new one so people and search engines land on the right page. Check that the new site is not still set to block search engines. This setting is often switched on while a site is being built and then forgotten. Make sure your sitemap is submitted in Google Search Console again if the site address or structure changes.

Ask for These Items in Writing

A verbal promise is easy to forget six months later. Ask your current team to confirm in an email or document that they are handing over: the domain and hosting login details or the transfer process, a copy of the website files and database, the admin logins for the site, any licence keys for paid plugins or themes, and the list of third-party services and who pays for each one. Keep that message somewhere safe. If a licence is registered under the agency’s name, ask how it will be moved to yours.

Test Before You Sign Off

Do not treat the handover as finished on the day files are delivered. Open the site on your phone and a computer. Submit your contact form and confirm the message reaches the right inbox. Place a test order if you sell online. Click through the main menu, check that forms, payment steps and email notifications work, and confirm your analytics is still recording visits. Keep a short list of anything that fails and ask for it to be fixed before you agree the handover is complete.

Common Mistakes to Avoid

Leaving the domain registered in the agency’s name is the most common one. Others include forgetting about email accounts tied to the old hosting, losing access to a payment gateway account, and not keeping a backup of the old site until the new one has run without problems for a few weeks. Each of these is easy to prevent if you ask about it before the handover starts.

The Bottom Line

A handover goes smoothly when ownership of accounts, access to source files, and documentation are sorted out in advance. Treating this as a checklist rather than an afterthought protects your business from losing control of its own digital assets.
