AI agents for logistics

AI agents for logistics companies: status, quotes and exceptions

Logistics runs on email, PDFs and phone calls between parties who each use a different system. Agents are a natural fit: they read the messy inputs, update your TMS and raise only the shipments that need a person.

In short

A logistics AI agent reads shipment emails, bills of lading, proof-of-delivery documents and carrier replies, then updates your transport or warehouse system, answers where-is-my-load questions and flags exceptions such as delays or documentation gaps. Liftup Technologies builds these agents around your TMS or WMS, with dispatchers deciding on rates, re-routes and claims. The agent handles the reading and chasing.

The exception is the job

On a normal day most shipments move without comment. The work is in the exceptions: a missed pickup, a customs hold, a damaged pallet, a driver who has not checked in. Meanwhile customers and consignees keep asking where the load is, and each answer needs a look at the tracking portal, a carrier email and sometimes a call.

A brokerage or 3PL with a dozen coordinators spends much of the day on status updates and document wrangling. An agent can take the repeatable part, and the coordinators move to exceptions where their relationships and judgment matter.

Exception by exception

SituationAgent actionHuman action
Customer asks for statusReads the TMS and latest carrier update, replies with the current status and next milestoneNone unless the load is off plan
Carrier misses a check callSends a polite request for location, logs the reply, alerts the coordinator after a set timeCalls the driver or reassigns
Delivery delayCalculates the new ETA, drafts an update to the consigneeApproves compensation or re-route
Document arrives (BOL, POD, invoice)Extracts the fields, matches to the load, flags mismatches in weight, count or consigneeResolves discrepancies
Rate requestCollects lane, weight, equipment and dates; asks approved carriers for quotes; compares repliesChooses the carrier and sets the margin
Damage or shortageGathers photos and notes, opens a claim file with the right documentsNegotiates the claim

The rate request row is a common first project. It turns a scatter of email threads into a comparison sheet while the broker works on the next load.

Documents are the hard part

Freight paperwork is far from tidy. A BOL may be a phone photo taken at an angle, a scanned fax or a PDF exported from a driver app. We build extraction with confidence scores. High-confidence fields post to the TMS, low-confidence ones go to a short review queue with the image beside the extracted value. Over time the review queue shrinks for formats the system has seen often.

Systems, trade rules and data limits

  • Systems: transport management and warehouse tools differ widely. Some have modern APIs. Others rely on EDI feeds or flat files. We design around what you have, and EDI messages can be read and written by the agent through a defined interface.
  • Customs and trade: customs documents and tariff classification have legal weight. The agent can check that required fields are present and prepare data for a licensed broker. It does not file entries or classify goods for declaration without a qualified person.
  • Driver and carrier data: phone numbers and locations are personal data in many places. Keep retention short and access narrow. GDPR and UK GDPR apply to European operations.
  • Safety-critical and dangerous goods: shipping dangerous goods has strict documentation rules. The agent can flag a missing document but never certifies compliance.

Where to begin and what it costs

Pick the queue that makes your coordinators groan most, and count it first: how many status emails a day, how many minutes each takes and how many of them need a real decision. Those numbers decide whether an agent is worth building at all. For many firms it is where-is-my-load emails, which are high volume and low risk. For others it is POD matching to speed invoicing, which has a visible cash effect because customers pay after delivery documents arrive. We run the pilot on a single lane group or customer first, so results are measured on a clean slice.

Projects start at $1,500, with work above that at $30 an hour, and a fixed quote within one working day of a short call. Price moves with the number of document types, the TMS integration and the number of carriers and customers involved. Questions, answered

Can it talk to drivers?
It can message drivers through the channels you already use and log replies. Voice contact is a separate build.
Will it work with our TMS?
If the TMS has an API, EDI or a scheduled export, yes. We check this first. Some older systems need a vendor connector, which we price openly.
How accurate is document extraction?
It depends on document quality, so we measure on your own samples before promising anything. Low-confidence fields always go to a person.
Can it negotiate rates?
It collects and compares quotes. Your broker sets margin and picks the carrier. We advise against automated negotiation.
Is this for brokers only?
No. Carriers use agents for dispatch paperwork and customer updates, and warehouses use them for receiving documents and inbound appointments.
