In short

An AI chatbot for an education provider answers questions on courses, fees, entry requirements, deadlines and campus services from your own documents. It helps applicants find the right course, collects enquiries for admissions and points current students to the right office. Liftup Technologies builds it with student privacy rules in mind. Projects start at $1,500.

Peaks and audiences in education

Education enquiries come in waves. Applications open, results come out, term starts, exam stress hits. At each peak the admissions team receives hundreds of near-identical messages, many from parents, mature learners or international applicants with different questions from school leavers.

A chatbot suits this pattern because the answers sit in documents that rarely change within a term. The skill is in sorting the audience: prospective student, current student, parent, staff. Each needs different content and different privacy.

Training providers and private colleges face the same load on a smaller team. One admissions coordinator may answer enquiries about fees, funding, start dates and certificates, and each reply needs a careful look at the latest course sheet.

What the assistant covers

Course finder

Asks about interests, level and study mode, then suggests matching courses from your catalog with links and entry requirements.

Admissions desk

Explains how to apply, which documents are needed, key dates and fee categories, and collects a callback request.

Student services

Answers about timetables, library hours, wellbeing contacts, accommodation and exam rules from the student handbook.

Parents and guardians

Gives general school information such as term dates, uniform, transport and contact routes, without sharing any individual pupil's data.

Staff helper

An internal version answers HR or IT policy questions for teachers and administrators.

We connect to what providers commonly use, for example Moodle, Canvas, Blackboard, Google Classroom, a student information system or a CRM such as Slate or HubSpot. For public-facing admissions the bot only needs the website and your documents.

The fourth row is the one to design carefully. A message that signals crisis must not get a cheerful FAQ answer. The bot shows your counseling and emergency contacts and alerts a named person during hours.

Student data and young users

In the US, FERPA protects student education records, and the Children's Online Privacy Protection Rule applies to services aimed at children under 13. In the UK, schools and colleges handle pupil data under UK GDPR and follow safeguarding duties, and similar rules apply in Australia and Ireland. Check with your data protection officer before any bot touches records. Our default is that the public bot never reads a student file, and the logged-in version shows each person only their own details.

Accessibility matters too. Public education sites are widely expected to meet WCAG, and a chat widget must work with a keyboard and a screen reader. Our WCAG 2.2 checklist shows what we test.

Timeline and method

  1. Pick the audienceUsually applicants first, since the content is public and the benefit is visible at the next intake.
  2. Content passWe list the documents the bot will use, and flag pages that are out of date.
  3. Safeguarding reviewYour safeguarding lead approves the crisis and under-18 behavior.
  4. Build and testAdmissions staff test with last year's real enquiries.
  5. Launch ahead of intakeIdeally weeks before applications open, with weekly review after.

We work remotely from Pune and schedule calls around term-time hours. The parent page AI chatbot development covers the general method.

Cost

A public admissions assistant trained on your site and prospectus can start near our $1,500 minimum. Student-facing versions with logins, several campuses or languages, and links to a learning platform add hours at $30 an hour. We provide a fixed quote within one working day of a short call. Content volume and the number of connected systems are the main drivers. Compare with other builds on the AI chatbot cost page.

Questions, answered

Can the bot help students with coursework?
That is a different product and an academic integrity question. We build service and information assistants, and your policies decide whether study help is allowed.
Does it work in several languages?
Yes. We test each language with a native speaker on your staff, since fees and entry rules need exact wording.
What if a user is under 13?
Child-directed services have extra legal duties. We advise a design with a parent-facing bot and no collection of children's personal data, and your lawyer should confirm.
How does it handle exam results queries?
It points to the official results portal and dates. It never shows grades unless built with proper authentication and approval.
Can it take applications?
It can start one by collecting the basics and sending the applicant to your official form. We advise against taking full application data in chat unless your systems and policies support it.
