AI chatbots for accountants

AI chatbots for accounting firms

Tax season turns the inbox into a queue of the same questions: what do I send you, when is it due, did you get my file. A chatbot trained on your own checklists answers those, so your team can do the actual work.

In short

An AI chatbot for an accounting firm answers routine client questions about deadlines, required documents and fees from your own material, books consultations and collects the basics for new enquiries. It does not give tax advice or take sensitive identifiers in chat. Liftup Technologies builds it on your website or WhatsApp with a clean handoff to staff. Projects start at $1,500.

The same questions, every filing season

Accounting firms get a predictable wave. In the US the individual deadline in April brings a spike, in the UK the Self Assessment deadline falls at the end of January, and in Australia individual returns are due at the end of October. Each wave brings the same questions in the same words, and partners end up answering them between client calls.

Prospective clients ask different things: do you take on sole traders, what do you charge for a limited company, can you fix a late filing. A chatbot that knows your services and fee ranges can answer the first message properly and capture a contact for follow-up.

What the chatbot does for a firm

  • Explains which documents you need for each client type, using your own checklists.
  • States filing and payment deadlines that you have loaded, with the date it was last checked.
  • Answers how onboarding works, how long it takes and which portal you use.
  • Qualifies new enquiries: entity type, turnover band, current software, services wanted.
  • Books an intro call or a meeting through your scheduling tool.
  • Routes existing clients to the right person or the status of their file when your practice software allows it.

We often connect it to tools such as Karbon, TaxDome, Xero Practice Manager or Calendly, for example, and to your document portal for links only. Our chatbot script template is a good place to draft the tone and the handoff wording.

What stays with your team

The last row is deliberate. Identifiers such as a Social Security number, a UK National Insurance number or a bank account should never be typed into a chat widget. The bot says so and sends the client to your secure upload.

Professional duties and data

Firms hold regulated data and professional duties. In the US the IRS expects tax preparers to protect taxpayer information, and the FTC Safeguards Rule applies to many tax preparers. In the UK and Ireland, GDPR applies, and professional bodies set their own advertising and confidentiality rules. We keep the bot away from client records, store transcripts for a retention period you choose and add a clear notice that it is automated. Check with your professional body on anything specific to your registration.

Because the bot cannot give advice, we write refusals that are polite and useful: here is who can answer this and how to book them.

How we build it with you

  1. Collect your materialEngagement letter, onboarding email, document checklists, fee sheet, deadline calendar.
  2. Write the boundariesA short list of what the bot must refuse, signed off by a partner.
  3. Build and testWe test with real past emails, with staff names removed, before launch.
  4. Launch before the rushIdeally four to six weeks ahead of your busiest deadline.
  5. Review the transcriptsEach week we read what clients asked and update the answers.

We work remotely from Pune and book calls in your office hours. The parent page, AI chatbot development, covers the general build.

What it costs

A website chatbot built from your checklists and fee sheet, with booking and handoff, can sit near our $1,500 minimum. Adding WhatsApp, a document-portal link or multi-office routing adds hours at $30 an hour, and the whole thing is quoted as a fixed price within one working day of a short call. Price depends on the amount of content, the number of channels and any integrations with practice software. Questions, answered

Can the chatbot answer tax questions?
It can explain how your firm works and what documents are needed. It should not give advice on a specific tax position. Those questions go to an accountant.
How do we keep deadlines correct?
Deadlines live in one list that you control. The bot quotes from it and shows the date it was last updated, so a change takes minutes.
Will it work with our practice management software?
Often for scheduling and lead capture. Reading client file status depends on the software's API, so we check before quoting.
Do clients have to use the bot?
No. There is always a visible way to reach a person, and the bot offers it whenever it is unsure.
Is it worth it for a small firm?
If you answer the same questions weekly, yes. Our automation page for accountants shows the back-office side too.
