German Mittelstand teams tend to ask for the same three things up front: where is the data processed, who can see it, and how does a person step in. Each of these can be piloted for a few weeks before wider use. Keeping the first scope small also keeps the approval work with your data protection officer short.

Rules we plan around

• DSGVO (GDPR). Personal data sent to a model provider needs a legal basis, a data processing agreement and a transfer mechanism. German supervision is split between the federal BfDI and the state authorities, so which office is yours depends on where your company is registered.
• EU AI Act. Chatbots and other systems that talk to people carry a transparency duty: users should be told they are dealing with an AI system. We build that notice into the first message.
• Third-country transfer. Our team is in India, which has no EU adequacy decision. If anyone on our side can see personal data, standard contractual clauses and a clear access limit are part of the plan.
• Works council. Tools that can monitor employee behavior or performance usually need the Betriebsrat involved early. Customer-facing bots rarely raise this, internal tools sometimes do.

Model and hosting choices

We work with OpenAI and Anthropic APIs, and with workflow tools such as n8n, which can be self-hosted on a server you choose, including one in a German data center. For sensitive documents the answer is often to strip or mask personal fields before they reach a model, or to keep the retrieval store in your own EU environment. Testing in German before launch

Answers that look right in English can fail in German: formal and informal address get mixed, compound terms are misread and units, dates and currency are written the wrong way. We write the test set in German with your team's real questions, include trick cases such as requests for legal or medical advice, and check that the bot declines or hands over. You see the results before launch, and a short written note lists what the bot is and is not allowed to do.

How a project runs

We start with a short call, then a written scope and fixed quote within one working day. A first working version goes to a small group of users for testing before it touches customers. India is 4.5 hours ahead of Germany in winter and 3.5 hours ahead in summer, so reviews are booked in your morning.
