A good first automation is boring, frequent and rule-based, with a small slice of judgement. In Irish offices that tends to mean the following.

Tools we use

We pick the lightest tool that works. Zapier suits quick connections between common apps. Make handles branching flows at lower cost. n8n gives more control and can be self-hosted, which helps when you want data to stay in an EU region. AI steps use the OpenAI or Anthropic (Claude) APIs for reading, classifying and drafting. We keep prompts, outputs and error messages in a log so you can see what happened and fix a bad result. The AI automation service page explains the build in detail.

A word on reliability. Automations fail quietly when a login expires, a supplier changes a PDF layout or an API limit is hit. We add retries, a dead-letter list of failed items and a daily summary to a named inbox. After the first month most clients check the summary in under a minute and only look deeper when it shows a red line.

GDPR and data transfers

Automations often move personal data between tools: names, emails, invoices and sometimes health or payment details. Under GDPR and the Data Protection Act 2018 you remain responsible for it, and the DPC is the regulator. Each tool in the chain is a processor, so we keep a list and check each one has a processing agreement.

• Choose EU data regions in the tools that offer them.
• Send the AI model only what it needs, for example the invoice text without bank details.
• Delete logs and temporary files on a schedule.
• Keep a human in the loop where an automated decision affects a person, such as a refusal or a price.
• If marketing messages go out, check ePrivacy Regulations 2011 consent and include an unsubscribe.

Because our team is in India, access to personal data from there is a transfer outside the EU. We test on sample data, and for live data we agree standard contractual clauses first. Your solicitor should review that paperwork.

Calls run in your morning. Ireland is on GMT until the end of March, which puts India 5.5 hours ahead, and the gap drops to 4.5 hours under Irish Standard Time in summer. A pilot normally needs two or three short sessions with the person who does the task today.

Not every task needs AI. If a rule can do the job, such as routing by postcode or amount, we use the rule, because it is cheaper, faster and easier to explain to an auditor. AI is kept for reading messy text, classifying free-form requests and drafting replies.

Price

Projects start at $1,500, with extra hours at $30. A single flow between two apps sits near the start. More systems, document reading, branching rules and approvals add to it.
