Start with one flow, not ten. A good first project is the one your team complains about most, because the people closest to it will test it properly and tell you where the exceptions hide. Once it runs cleanly for a month, the second and third flows take much less time because the accounts, logging and approval patterns already exist.

UK data and accounting points

• UK GDPR applies as soon as an automation touches names, emails or CVs. We map what data moves where and keep personal data out of tools that do not need it.
• Automated decisions that significantly affect people, such as hiring or credit, carry extra rules. We keep a human in the decision and your adviser should review the design.
• Making Tax Digital rules shape how VAT records are kept. We do not file returns. We prepare data that your accountant or bridging software submits.
• Model providers process the text you send them. We check data terms, use business-tier API accounts, and avoid sending anything unnecessary.
• Our team in India may see data in logs while debugging. Your contracts and privacy notice should cover international transfers, and we can limit access to test data where possible.

Consent and marketing rules apply to automations that send messages. PECR covers emails and texts sent for marketing, so an automated follow-up to a cold list is not the same as a delivery notice to a customer. We configure unsubscribe handling and keep suppression lists in one place.

Tool choice: n8n, Make or Zapier

Each tool suits a different team. Zapier is the quickest to learn and has the widest app list. Make handles branching and data shaping well at a lower price per task. n8n can be self-hosted, which helps when you want data to stay on infrastructure you control, such as a UK or EU server. We recommend based on volume, data sensitivity and who will maintain it.
