What an agent is, and what it is not

A chatbot answers questions. A workflow follows a fixed path. An agent receives a goal, decides which steps to take, uses tools, and checks its own result. That flexibility is useful for jobs that vary, and risky for jobs that must be exact. Our comparison of AI agents and chatbots sets out the difference, and for fixed paths a simple automation is usually cheaper and safer.

For most Italian SMEs, the right first agent is narrow. It handles one task for one team, with a short list of tools it may use and a list of actions it may never take.

Agent ideas that fit Italian companies

Each one starts in draft mode, where it prepares work and a person decides.

A useful test before building: could a careful new hire do this job from a written procedure and the same tools? If yes, an agent can probably help. If the job depends on gut feeling, personal relationships or legal judgment, keep the human in charge and let the software prepare notes. We also ask what happens when the agent is wrong, because the cost of a mistake decides how much freedom it gets.

Safety, privacy and regulation

• Permissions. Each tool gets the narrowest access that works: read-only where possible, no payment rights, no deleting. Our AI agent security checklist lists the controls.
• Logs. Every action, tool call and result is recorded so you can see what happened and why.
• Privacy. Agents often see customer data. GDPR applies, with the Garante as the Italian authority, so we limit what is sent to a model, review provider terms and, where available, choose EU processing options.
• AI Act. The EU AI Act phases in obligations over several years, including transparency duties for systems that talk to people. Most business-assistant agents are low risk, but the classification depends on use. Ask your lawyer to confirm for your case.
• Staff. If an agent monitors employees, Italian labour law can apply and may require agreements or notices. Involve your consulente del lavoro before building anything like that.

We select the model by task. The OpenAI and Anthropic APIs both work well, and our note on OpenAI API versus Claude API explains how we choose. We avoid lock-in so that the model can change later.

Working across time zones

India is 4.5 hours ahead of Rome in winter and 3.5 hours ahead in summer. Calls are scheduled between 09:00 and 13:00 Rome time, and demos happen weekly. Agents run on cloud services in the region you choose, with alerts to a person on your team if something fails.

After the pilot we review the logs together: which cases the agent handled alone, which it escalated, and where staff changed its draft. That review decides the next step, which may be wider access, a second agent, or switching the agent off because the job did not suit it.

Pricing

Projects start at $1,500, and the rate is $30 an hour. After a short call you get a fixed quote within one working day.
