Agent or workflow: pick the simpler one

A fixed workflow does the same steps every time. An agent chooses its own steps from a toolbox, which makes it flexible and harder to predict. Most business jobs need a workflow with one or two smart steps. An agent earns its place when the path varies: researching a supplier, handling a messy support case, preparing a customer briefing from several systems.

Jobs that suit an agent in a Swedish business

The last row is deliberate. GDPR restricts decisions based solely on automated processing that significantly affect people, and a recruiting agent should assist a human, not replace one. Your lawyer should review any use that affects individuals.

Start with one row of this table, not all five. A single agent that does one job well, with a person checking its output for the first month, teaches you more than a broad plan. After that period you decide from the log whether to widen its rights, add a second tool or leave it as it is.

Controls that make agents safe to run

• Least privilege: each tool connection has the minimum rights, and write access is added only where needed.
• Approval gates: sending emails to customers, moving money, deleting data or changing prices always waits for a named person.
• Budgets: a cap on model calls and tool actions per run, with an alert when a run loops.
• Logs: every step, tool call and result is stored for a period you set, so you can explain what the agent did. Describe this in your privacy policy.
• Test set: fifty or more Swedish and English cases with expected outcomes, rerun after every change.
• Prompt injection: text from emails or web pages is treated as data, not instructions, and tools that act on the outside world are separated from tools that read.

Swedish-language and local-system points

Swedish quality is a test, not an assumption. We evaluate with real messages: dialect-influenced phrasing, abbreviations, emails that mix Swedish and English, and amounts written with decimal commas. We also check how the agent handles organisationsnummer, postnummer and date formats such as 2026-11-03.

On the systems side, many Swedish firms use Fortnox or Visma for accounting, and Peppol-based e-invoicing for public customers. We connect agents through documented APIs and keep personal identity numbers out of prompts. Where a person must prove identity, the agent sends them to a BankID-protected page.

Language mix matters in practice. A Swedish customer may write in Swedish, a supplier in English, and an attachment in German. The agent should answer in the language of the sender unless you set a house rule, and the test set includes such cases. We also check tone: plain, polite and without the exaggerated enthusiasm that reads oddly in Swedish business email.

Build process, time zone and price

A pilot runs in four stages: one-day scoping, a read-only prototype, supervised use with approvals, then limited autonomy where the log shows it is safe. Calls happen in the Swedish morning, 12:30 or 13:30 in Pune. One lead, a weekly demo and a short review of the agent's mistakes.
