Where AI pays off in Italian companies

Italy is full of small and mid-sized companies where a few people carry the whole back office. The same tasks come up again and again: orders arriving by email and WhatsApp, supplier invoices, delivery notes, quotes, and customers asking the same ten questions. These are good AI targets because they are repetitive, text-based and measurable.

Start with one process, not a platform. A chatbot that answers shipping and opening-hours questions, or an automation that files supplier invoices, can be live in weeks and shows quickly whether the approach fits. Larger projects, such as an agent that prepares quotes from past orders, build on the same pieces. Many Italian companies also sell across borders, so the same assistant can answer in Italian and switch to English or German for foreign buyers, with each language tested separately.

Italian-language quality

A model that writes fluent English can still sound stiff in Italian: wrong register, literal phrases, or tu where a client expects Lei. We write the system prompts in Italian, set the register per audience, and test with a bank of real questions from your inbox. A native reader you nominate signs off the tone before launch. We also check numbers, dates and currency in Italian format, because small slips there erode trust quickly.

Privacy, the Garante and the AI Act

Italy's data authority, the Garante per la protezione dei dati personali, has been active on AI. It temporarily restricted ChatGPT in 2023, which is a sign that an Italian chatbot deployment needs careful privacy design from day one. The points below are the ones we plan with you.

• Tell users they are talking to an AI, and give a route to a person. The EU AI Act sets transparency duties for systems that interact with people, so confirm the timing with your lawyer.
• Decide what personal data the bot may see. Do not send customer files to an AI provider unless there is a lawful basis, a data processing agreement and a retention setting you have checked.
• Keep a record of what the system did. We log inputs and outputs so you can answer a customer or an auditor.
• If an agent would monitor staff, Italian labour rules can apply, so involve your consulente del lavoro first.
