What is worth automating

Look for work that is frequent, rule-based and annoying: copying orders into an invoicing tool, chasing unpaid invoices, sorting email into folders, updating a spreadsheet after each sale. Automation removes the copying. AI is added only where text must be understood, such as reading a supplier email or an attached order form.

Polish companies often use a mix of local and global tools: a marketplace such as Allegro, a store on Shopify or WooCommerce, a Polish invoicing service, courier tools, and a CRM. Our job is to connect them reliably, with logs that show what ran and what failed.

Whether a given Polish invoicing, marketplace or courier service can be connected depends on its public API. We confirm this before quoting. Poland's national e-invoicing system KSeF is being phased in for B2B invoices, so invoice automations need a check against current rules with your accountant.

Choosing n8n, Make or Zapier

n8n can run on your own server, which helps when you want data kept in a chosen region and when volume would make per-task fees expensive. Make and Zapier are quick to start and have many ready connectors. We choose by volume, data sensitivity and who will maintain the flows. For any option, we use separate test and live environments, error alerts to a channel you watch, and written documentation so your staff can understand each flow.

RODO and safe handling of data

Automation moves personal data between systems, so every tool in the chain becomes a processor under RODO, the Polish name for GDPR. UODO supervises it. List the tools, check each provider's data terms, and keep only the fields each step needs. When AI reads emails or forms, the text goes to the model provider, so check the provider's data processing terms and regional options. A purely automated decision with legal effect on a person is a special case under RODO. We keep a human in the loop for anything like that.

Rolling out without breaking things

Start with one process and run it side by side with the manual version for a week or two. Compare results line by line. Only then switch the manual step off. This approach feels slow, but it catches odd cases early, such as orders with missing postal codes, company names with unusual characters, or customers who pay in parts.

Polish data has its own quirks. Postal codes use the NN-NNN pattern, names carry diacritics that some old systems store badly, and company buyers supply a ten-digit NIP. We add validation for these fields so bad data stops at the first step instead of reaching your accountant.

After go-live, each flow gets an owner on your side. That person receives alerts, knows how to pause the flow and decides about changes. We hold a short review after the first month to look at failures, time saved and steps that should become stricter or looser.

Time and delivery

Warsaw is 4.5 hours behind Pune in winter and 3.5 hours behind in summer. Most automations are built and tested in our day, then demonstrated in your morning. Typical delivery: a short discovery, a map of the current process, a build in a test environment, a pilot run on real data and a go-live with monitoring. A single workflow often takes days, while a full process can take weeks.
