When a web app beats a spreadsheet or off-the-shelf tool

UK firms often outgrow a shared spreadsheet before they can justify a large system. Quotes live in one file, job status in another, and the only person who understands the macros is on holiday. An off-the-shelf tool may fit, and we will say so if it does. A custom app earns its place when your process is unusual, when you need your own client login, or when per-seat pricing from a packaged tool would cost more than a build.

The first deliverable is a short written scope: who logs in, what each role sees, what data goes in and out, and what must happen when something goes wrong. That document is yours, even if you later choose a different builder.

Whatever you build, plan for the people who will use it daily. We interview two or three of your staff or customers before the design is final, because the shortcuts they already use in their spreadsheets are the best guide to what the app must do.

UK requirements for custom software

Direct Debit matters for recurring billing in the UK. Many UK customers prefer it to cards for monthly fees, and it avoids card expiry failures. Setup involves mandates, notice periods and scheme rules, so we plan for it early.

Backups and recovery deserve a plain statement in your scope. We set automated daily backups, test a restore before launch, and write down who can access production and how that access is removed when someone leaves.

We build on Next.js and React with a managed database such as Postgres, and we use the Claude or OpenAI APIs where the app needs to read or draft text. Technology is chosen to suit the team that will maintain it.

Working with a remote team

You deal with one lead. The UK morning overlaps our afternoon: 09:30 UK is 15:00 in India in winter and 14:00 in summer. Release demos happen every second week, and you receive written notes on what changed and what is next. Source code lives in a repository you own from the first day, and cloud accounts are in your company's name.

Cost drivers

Projects start at $1,500, and extra work is $30 an hour. The number of user roles, screens, integrations, reports and the amount of data to migrate move the price most. Compliance work, such as audit trails, adds time. A first release with a narrow scope is cheaper and teaches you more than a large first version.
