Custom GPT development

Custom GPT development: a focused ChatGPT assistant for one job

A custom GPT is the fastest way to give a team a specialist assistant. It is also limited in ways that matter, so we start by checking whether it is the right container.

In short

A custom GPT is a version of ChatGPT set up for one job, with written instructions, uploaded knowledge files and optional actions that call your systems through an API. It suits internal teams and small public tools. We design the instructions, prepare the knowledge, build and test actions, and advise when a standalone app fits better.

Custom GPT, RAG app or standalone chatbot

A custom GPT lives inside ChatGPT. Users need access to ChatGPT, and you work within what the platform allows. A standalone app lives on your site and under your control. This table is how we advise.

SituationCustom GPTStandalone app
Internal team already uses ChatGPT at workGood fitPossible, more effort
Customers on your website must use it with no loginPoor fitGood fit
You need your branding and full interface controlLimitedGood fit
You need strict access rules and audit logsCheck your plan's controlsFull control
Quick pilot to test an ideaGood fitSlower to start
Heavy integrations and custom logicPossible through actionsBetter

If you land on the right-hand column, look at RAG chatbot development or LLM app development. Plenty of clients begin with a custom GPT, learn what works, then move the proven design into an app.

The instruction document we write

The quality of a custom GPT is mostly the quality of its instructions. We write them as a structured document and test every line. This is the skeleton.

  • Role: who the assistant is and who it serves.
  • Scope: the tasks it handles, and the ones it declines with a stock reply.
  • Sources: which knowledge files to trust first, and what to say when they do not cover a question.
  • Format: length, headings, tone, and any template its output must follow.
  • Checks: facts it must verify, numbers it must never invent, and words it must avoid.
  • Handover: where to send the user when the assistant cannot help.

Knowledge files and actions

Knowledge files are documents the GPT searches. Clean, well-titled files work much better than large dumps. We prepare them: remove duplicates, split long documents by topic, add titles and dates, and drop anything outdated.

Actions let the GPT call an API: look up an order, create a ticket, fetch a price. Each action has a schema we write, authentication we set up and limits on what it can change. Read-only actions come first. Anything that writes data needs a confirmation step. Platform limits and features change, so we check current OpenAI documentation at the start of each project.

Our process

  1. Define the jobOne task, one user group, one definition of a good answer. We write ten sample questions with ideal replies.
  2. Prepare knowledgeCollect, clean and structure the files.
  3. Write and test instructionsWe run the sample questions plus awkward ones: off-topic, trick, and ones that tempt the GPT to guess.
  4. Add actions if neededBuild the API endpoints and schemas, with authentication and confirmation steps.
  5. Pilot with your teamFive to ten users for two weeks, with a feedback form and conversation review where the platform allows it.
6. Publish and documentSet sharing options, record the setup, and hand over a maintenance guide.

What you get and how long it takes

  • A configured custom GPT in your workspace, with sharing set as you choose.
  • The instruction document, knowledge files and test questions.
  • Any API endpoints needed for actions, with documentation.
  • A short staff guide on what to paste in and what never to paste in, covering confidential and personal data.
  • A note on how the data is handled, for your privacy and security review.

A GPT without actions can be ready for a pilot in days to a couple of weeks, once the knowledge is gathered. Actions and approval from your security team add time. Your quote lists the stages for your scope. Ask on the contact page; the cost page for custom GPTs lists what moves the price.

How we report and related work

During the pilot you get a short weekly note: how many people used it, the questions it handled well, the ones it missed and the changes we made. Later, you review usage inside your own ChatGPT workspace tools.

We have no published custom GPT case study, and no real project in our portfolio that fits closely, so we will not borrow one. The AI development page shows how we approach builds in general.

Questions, answered

Do our users need a paid ChatGPT account?
Usually yes, for sharing inside a workspace, and plan features differ. We check current plan terms with you at the start, since OpenAI changes them from time to time.
Is our uploaded data used for training?
That depends on the plan and settings you use. We review the current terms with your team before any confidential file is uploaded.
Can we put a custom GPT on our website?
A custom GPT lives in ChatGPT, so not directly. If you need an assistant on your own site, a standalone app is the way, and we can reuse the instructions and knowledge.
How many files can it use?
Limits exist and change. We design around them by keeping the knowledge focused, and we confirm the present limits before we commit to a plan.
Can it be wrong?
Yes. Instructions and tests reduce errors, and we tell the GPT to say when it does not know. Your staff should still check outputs that matter.

Name the job you want a GPT to do

Describe it on the contact page and we will say whether a custom GPT or an app fits.
