Where AI helps a Belgian business

Belgian teams often answer the same questions in two or three languages: opening hours, order status, quotes, appointment changes. A well-built assistant can answer in the language the customer writes in, then hand the case to a person when it should. Back-office work is the second target: invoices, email triage, lead routing and report drafts.

We start with one workflow where the time saved is easy to count, ship it, then extend.

What we build

We use the OpenAI and Anthropic (Claude) APIs, with n8n, Make or Zapier for the connections. Where the data is sensitive we prefer self-hosted n8n and tight access to your systems. See our n8n vs Make comparison. A hand-off to a person should always exist, and it should be easy for a customer to ask for it. We also log every conversation step, so you can see what the assistant said and why.

Rules to plan for

• GDPR. The Belgian Data Protection Authority (APD/GBA) enforces it. Decide which personal data goes to a model, set retention, and sign a data processing agreement with each provider. Our AI vendor evaluation checklist lists the questions.
• EU AI Act. People generally need to be told when they are talking to an AI system, and some uses carry stricter duties. Timelines are phased, so confirm what applies to you with your lawyer.
• Transfers. If our team in India can see personal data, that is a transfer outside the EU. We limit access, work in your accounts and can agree contract terms with you.
• E-invoicing. Belgium is moving B2B invoicing to structured e-invoices. If you automate invoice handling, ask your accountant which format your flows must produce.

Language is the hard part

A model can write Dutch and French well, but Belgian usage differs from Dutch in the Netherlands and French in France. We test answers with real questions from your inbox in each language, add a glossary for product names and legal terms, and set the assistant to answer in the customer's language. A native reviewer on your side signs off the tone.

Pricing

Projects start at $1,500 and our rate is $30 an hour, in US dollars. Cost moves with the number of systems connected, the languages, and how much testing the use case needs.
