Where AI pays off for Dutch teams

Dutch companies tend to be lean and international. Customers write in Dutch and English, staff work with several systems, and admin takes hours that nobody planned. The best first projects are narrow and measurable: answering repeat questions, routing enquiries, drafting quotes, reading documents.

Privacy comes first, not last

The Autoriteit Persoonsgegevens enforces the AVG, and it has also taken an interest in algorithms and AI. Any AI tool that reads customer messages or staff data is processing personal data. That brings a lawful basis, a privacy notice, a processor agreement with the AI provider, and a decision about where the data goes.

• We choose the model provider with you and document which data is sent.
• Personal data is minimized before it reaches a model wherever the task allows.
• Logs and retention periods are set up front, not left at defaults.
• Our team in India may see data during the build. That is a transfer outside the EU, so agree the mechanism, such as standard contractual clauses, with your lawyer.

EU AI Act and works councils

The EU AI Act applies in stages and puts transparency duties on systems that interact with people. A chatbot should say it is a chatbot, and some AI-generated content must be labelled. Which parts apply to you, and from when, is for your lawyer to confirm.

If your company has an ondernemingsraad, the works council may have a say when a system processes employee data or monitors staff. Raise it early. An internal automation that touches HR or time records can need its approval before launch.

Dutch and English in one assistant

Many Dutch teams switch languages inside a single conversation. A customer may write in Dutch, forward an English invoice and ask a follow-up in Dutch again. An assistant has to follow that without asking the customer to pick a language. We test with mixed examples, including informal Dutch, product names and abbreviations, before anything goes live.

Tone needs attention too. Dutch business writing is direct, and a reply that sounds padded or too formal reads as odd. Many companies address customers with je, others with u. We write that choice into the instructions and review sample answers with you, so the assistant matches your brand rather than a translation of a US script.

Systems we connect to

Dutch small and mid-sized businesses often run an accounting package, a CRM, a webshop and a shared inbox, with a spreadsheet filling the gaps. We connect these through their APIs or through n8n, Make or Zapier, and we avoid building custom code where a standard connector exists. Payment data stays with your payment provider. We do not need card details for any automation.

For a webshop, typical jobs include order status replies, return requests under the 14-day right of withdrawal, and flagging orders that need a manual check. Pricing
